Automation of accounting and control
training equipment, instruments, computers and software by means of information
database
Abstract: In this paper it
is provided a description of the functionality of the program for
e-documentation in educational institutions to automate the work for accounting
and control of equipment, instruments, computers and software.
Functionalities of the program: The proposed
program is executed in the language Object Pascal [1, 2] and is designed to
work under the operating system Windows. Choice is caused by a multiplicity of
database management systems Dbase IV, convenience, both for the application
developer, and for the common user. Availability of the opportunity of
programming allows creating complex data processing systems designed for
specific tasks. In writing this program downlink programming method is
selected, information base is developed on the basis of dynamic tables.
Purpose and field
properties of the table: Personal equipment number serves as a primary key that
allows the access to any table line. Data Type - whole (Integer), length -
4 characters, possible values - integers between 1 and above.
The fields “Name of
equipment”, “Factory serial number”, “Inventory number”, “Location“, “For whom is registered” and
“Notes” have a Data Type - string (Character), field width - 30 characters.
User Options menu: Using tab of the
"File" menu it is possible to add an entry, browse the information on
the hardware and software, change the information, search by name, factory and
inventory number, send information to print, view the information on the table
and leave the program (Fig. 1).
Tab “View” allows
changing the database. Tab “Sorting” allows sorting the data by name, factory
serial number and inventory number. Tab “About programme” contains information
about the features of the program and its developer. In the main window there
is a possibility to search equipment, view, add and delete a record.

Conclusion: Information database designed
to optimize the process of monitoring the presence and place of storage of
training equipment, computer hardware and software, timely repairs, upgrades,
and ensuring laboratories. The program has a convenient user interface and
allows creating, transmitting and storing informative electronic documentation.
